Who we are
Thetford Commercial Cleaning is a sole trader business based in Thetford, Norfolk. We are responsible for the personal information described in this notice. You can contact us about anything here at hello@thetfordcommercialcleaning.com.
What we collect
When you register your interest or request a quote through our website, we collect your name, your phone number or email address, the type of premises and the town it's in. If you call, text or email us, we keep a record of that conversation.
If your business becomes a client, we also hold the contact details of the people we deal with, the address of the premises we clean, any access arrangements you give us (such as key or alarm instructions), and the details we need for invoicing.
How we use it
- To reply to your enquiry, arrange a site visit and prepare a quote.
- To provide the cleaning service you've agreed with us and to invoice for it.
- To keep the financial records the law requires.
Our lawful bases are taking steps you've asked for before entering into a contract, performing that contract, our legitimate interest in responding to business enquiries and running our business, and complying with our legal obligations. We won't send you marketing emails unless you've asked us to.
Who we share it with
We never sell your information. We only share it with the services we use to run the business, and only as far as they need it:
- Formspree, which receives quote requests from our website form and delivers them to our inbox.
- Cloudflare, which hosts this website and, where enabled, runs a security check on the quote form to keep out automated spam.
- Our email provider and accountant, and HMRC where the law requires it.
Some of these providers may process information outside the UK, for example in the United States. Where they do, the transfer is protected by safeguards recognised under UK data protection law.
How long we keep it
If an enquiry doesn't lead to work, we delete your details within 12 months. For clients, we keep records for as long as we're working together, and financial records for at least five years after the 31 January tax-return deadline for the year they relate to, as HMRC requires.
Cookies and analytics
This website doesn't use advertising or tracking cookies. We use Cloudflare Web Analytics to count visits, which works without cookies and doesn't follow you across other websites. If the security check on our quote form is switched on, it processes technical information about your browser to confirm a person, not a bot, is sending the form.
Your rights
You can ask us for a copy of the information we hold about you, ask us to correct or delete it, or object to how we use it. Email us and we'll respond within one month.
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
